Within Teamwork.com, notifications keep you up to date on the project work that matters to you. This article explains where notifications appear, what triggers them, and how to control how many you receive.
Where notifications appear
| Channel | What it shows | Learn more |
| Notification bell | Updates on items across your projects, grouped by date. A badge shows how many are unread. | Using the Notification Bell |
| Inbox | A shorter list of the updates most relevant to you: items assigned to you, items you follow, and places you are mentioned. Available on paid subscriptions. | Using Your Personal Inbox |
| Email | Emails for items you are notified about, plus optional emails such as task completed, 'Added as a follower' and the daily Project Report. | Profile Preferences |
| Desktop alerts | Browser pop-ups for important notifications while Teamwork.com is open in a background tab. | Enabling Desktop Alerts |
| Mobile app | Push notifications and a notifications list in the Teamwork.com app. | Viewing Notifications in the Mobile App |
What triggers a notification
You are usually notified about an item when:
- Someone selects you to be notified - when adding a task, message, comment, file or notebook, the person posting can choose who to notify.
- You are assigned - to a task or milestone.
- You are @mentioned - in a comment or message.
- You follow the item - you can follow items yourself, or someone else can add you as a follower.
Note: Notifying someone by email on a message or notebook also adds them as a follower of that item.
Managing your own notifications
Most personal notification settings are in your profile preferences. Click your profile icon in Teamwork.com's main navigation menu, select Edit my details, and go to the Preferences tab.

In the Notifications & emails section, you can turn the following on or off:
- Enable desktop alerts for important notifications
- Receive task/milestone completed emails
- Receive 'Added as a follower' emails
- Receive daily 'Project Report' email - with options for the time, weekends, and which tasks and events to include.
- Receive status update emails
- Only receive notifications from projects I'm a member of (admin only)- limits the notification bell badge to items you have been notified about.
- Alert me when I forget to notify people when I comment
Note: These preferences apply across all of your projects.
Following and unfollowing items
Following an item is the easiest way to control notifications for a single task, message or notebook.
- Tasks - hover over the task and hover over the eye icon. Choose to follow for all updates, only changes, or only comments, or mute notifications for that task.
- Messages and notebooks - open the item and select Follow in the top right. Messages are all or nothing.
For more information, see: Adding Followers to Project Items
Pausing all notifications
To take a break from notifications, open the notification bell and click the bell icon at the top of the panel to mute. Click it again to unmute.
Note: Muting the bell also stops your push and email notifications. If you have stopped receiving emails, check that your bell is not muted.
Tips for reducing notifications
- Turn off emails you do not need in your profile preferences, such as task completed or status update emails.
- Turn on Only receive notifications from projects I'm a member of so the bell only counts updates meant for you. (Admin only preference)
- Unfollow, or follow only comments on, tasks you no longer need to track closely.
- Use your inbox filters, such as Assigned to me or I've been mentioned, to focus on what needs your action.
- Use the filters in your bell to filter down your notifications
Project notification settings (administrators)
Project administrators can set the default notify options for a project. Open the project's Settings tab and go to the Notifications subsection. From here you can choose who is selected to be notified by default for new items, comments, private items, and items created by email.
Note: These are only defaults. The person posting can still change who is notified.
You can also turn off email notifications for a specific person on a project. Go to the project's People tab and click the envelope icon beside their email address. A red envelope means their emails are disabled for that project.
Site email settings (site administrators)
Site administrators in the owner company can customize outbound notification emails in the Email subsection of the site settings:
- Updating the From Address Format for Email Notifications
- Using Your Site Logo in Outbound Email Notifications
Troubleshooting
If notifications are missing or delayed, first check that your notification bell is not muted, then see:
- Resolve Email Notification Issues - for emails that are not arriving.
- Notifications Are Not Showing for My Site - for bell notifications blocked by a network or firewall.
- Resolving Notification Delays on an Android Device
Using your Site Logo in outbound email notifications
Within Teamwork.com, you can use your own site
logo in your outbound email
notifications.
Note: Using
your own site logo in your outbound
Teamwork.com email is available on paid
subscriptions.
Click your profile icon in the top right corner of your site and select Settings from the pop-out menu.
In the settings area, go to the Email subsection where you will see an option
to Use Logo in Notifications.

You can choose to toggle this on to show your
own site logo on any email sent from your
site.
If you choose to toggle this off, Teamwork.com
branding will be used instead.
Note: Enabling this feature only
controls which logo is used. You cannot alter
the teamwork.com address used to send the
notifications.
