Proofs explained

Proofs allows users to manage a proof's entire lifecycle from creation to revision to final client approval.

Create proofs in Teamwork.com, then invite key stakeholders (including your clients) to review and approve the proof. Your clients don't need to be added to your Teamwork.com site in order to access the proofing tool and contribute to the proofing process.

Whether the file in question is an offline document located on your computer or is an online document, add it to a proof for review and approvalYou choose the source (options described below) that best fits your workflow.
 
📝 Proof files do not count towards your Teamwork.com storage usage.

Create a proof

 
Create proofs from the Proofs area in Teamwork.com.

  1. Select Proofs in Teamwork.com's main navigation menu. If it's not pinned, you'll find Proofs under the ...More option.
  2. Click + Add proof.

  3. Set a name for the proof.
  4. Choose a project to associate with the proof.
     

     
  5. Link the proof to a specific task. This one's optional, but we recommend it if the proof is related to work being done on a task.
  6. Assign a due date (the date the proof should be approved by).
  7. Choose the proof source:
    1. File: Click Upload a file, then drag and drop one file (or browse your computer).
    2. Link (to file)Click Add a link, then paste the file link.

  8. Invite a person to review or approve:
    1. Enter the person's email address. You can add non-Teamwork users and they'll receive an email which provides access to what they need directly in the proofing tool without needing access to your Teamwork site. 
      💡 If there's an existing Teamwork.com user matching the name or email you enter, they'll populate in the dropdown for selection as you type.

       
  9. Assign the person's permission level. Don't worry, you can add more people with different permissions in step 10. Permission levels:
    1. Can review: Allow the person to view the proof in the proofing tool and leave feedback comments. This is the default selection.
    2. Can approve: Allow the person to view the proof in the proofing tool, leave feedback comments, request changes to the proof, and approve the proof.
      ⚠️ If you add multiple approvers to a proof, they must all give their approval before the proof's status changes to approved.

  10. Click Add another to add additional people to the proof's reviewers and approvers. Another invite row is added where you can enter the person's name or email address (as you did in step 8), then select a corresponding permission (as you did in step 9).


    💡 Change your mind? Click the trash can to remove a reviewer or approver row.
  11. Review the permission levels assigned to each person and click the current permission to update if necessary.
  12. Click Add proof.

The proof is created and given an In review status.
  • Invites are sent to the selected reviewers and approvers with a direct link they can use to access the file in the dedicated proofing tool.
  • The proof is also listed in the Proofs area in Teamwork.com, accessible to existing members of your Teamwork.com site.

Best practices

  • Keep it contextual: Link each proof to the corresponding task where you're tracking the work.
  • Add only necessary approvals: Only add people whose approval is actually required as approvers. Make anyone else a reviewer.
  • Iterate through versioning: As the proof creator, action approvers' requested changes then upload a new version of the proof for subsequent review.
