What
Create budgets on projects to track hours and money spent.
Why
  • Monitor accumulating costs and hours worked throughout a project.

Who
  • Site admins (in the owner company) can create, view, and manage all budget types on all projects.
  • Site admins (in external companies) can create, view, and manage budgets on projects they're a member of.
  • Project admins can create, view, and manage budgets on projects they're an admin on.
  • Standard users and client users with the project permissions:
    • View project budget (allows users view-only access to a project's Budgets area).
    • Manage project budget (allows users to create and manage the project's budgets).
    • View project budget profitability (allows users to view the project's budget profitability). 
      🔑 Users need all three permissions enabled in order to create and manage fixed fee budgets.

For client projects where you're billing the client for work done, whether it's a fixed fee, hours spent, or rolling retainer.

Before you start

Enabling the view project budget profitability permission may (in some cases) allow the user to calculate other users' cost rates. Ex. If only one user has logged eight hours and the budget's reported cost is $800, it can be concluded that said user's cost rate is $100 / hour. Only enable if you understand and accept this.

Budgets area

Each project's budgets are managed from the project's Finance area.

  1. Click Jump to in Teamwork.com's main navigation menu.
  2. Search for and select a project.
  3. Switch to the project's Finance section.
  4. Select the Budgets tab.

Budget overview

View the project's current active budget (if set).

If an existing budget's start date is in the future, it is an upcoming budget and is not displayed until that date arrives.

Profitability

Track the project's running total cost, billable total, and overall profit.

Accounts on Scale subscriptions can also access the detailed profitability report from this panel.

Task list budgets

Task list budgets track the smaller chunks of work on your projects and roll up to the overall project budget.

Expenses

One-off expenses associated with the project (aka not related to hours worked).

Notifications

Budget usage notifications alert selected individuals when the current budget reaches a certain % of it's allocation being used.

Time logs

Any time logged in the period associated with the active budget.


Budget usage

Monitor the project's active budget usage throughout your Teamwork.com site:
 
  • Project header: Gauge indicating the budget's current usage. Hover to view the budget's details.

  • Finance > Budgets: Budget overview panel displays a usage graph.

  • Projects List view: Budget columns display each project's active budget details.
     


Project budget history

  1. Switch to the project's Dashboard section.
  2. Select the Summary tab.
  3. Scroll to the Project Budget panel.

The project's budget history is displayed on the panel's right-hand side.
  • Click a budget entry to open a quick view panel with the budget's usage graph.
  • Click View past budgets to explore older budgets.
