What
Rates control how time is billed to clients and how internal labour cost is calculated.

Every user has a site-wide billable rate and a cost rate. Billable rates can be overridden on individual projects using project rates or role rates.

Cost rates are always taken from the user’s site-wide cost rate.

When
Set up site-wide rates before time tracking begins, and apply project-level overrides when client agreements or budgets require different pricing.

Before you start

  • Billable rates determine client billing.
  • Cost rates reflect internal cost and never affect billing.
  • Cost and billable rates can be set for standard users and client users.

Only owner company site admins can view or manage site-wide billable and cost rates. External company admins do not have access to site-level rate actions.

How rates interact

  • Project billable rates override role and user billable rates.
  • Role billable rates override the user’s site-wide billable rate when selected.
  • Site-wide billable rates are used when no project or role rate is selected.
  • Cost rates always come from the user’s site-wide cost rate.

Multi-currency behaviour

  • Site admins can define separate site-wide billable rates per currency.
  • Role billable rates can be defined per supported billing currency.
  • Project billable rates always use the project’s billing currency. When applying a user or role rate, Teamwork converts the appropriate billable value at that time.
