Feature overview
What
Rates control how time is billed to clients and how internal labour cost is calculated. Every user has a site-wide billable rate and a site-wide cost rate. Billable rates can be overridden using project rates, role rates, or client role rates.

Who can see rates?

Cost rates are sensitive financial information.

  • Users do not automatically have access to view cost rates.
  • Cost rates are site-wide user rates that apply across all projects a user logs time on, and are restricted to site owners and owner company site administrators.
  • Project-level rate visibility is controlled through project permissions. Project rates affect billable rates only and do not create project-specific cost rates.

View or edit the billable hourly rates used on an individual project. Project rates affect billable rates only, not cost rates.
Project-level View Hourly Rates and Edit Hourly Rates permissions. Project admins are granted these permissions automatically.
Project budget and profitability
View project financial data that can include cost-based profitability information.
Permissions such as View Project Budget, Manage Project Budget, and View Project Budget Profitability.
Possible rate inference
In some cases, users may be able to calculate or infer cost rates from financial reporting data, even without direct access to rate values.

How rates work together

  • Project rates override all other billable rate types.
  • Client role rates override standard role rates when selected.
  • Role rates override the user’s site-wide billable rate.
  • User rates apply when no other rate type is selected.
  • Cost rates always come from the user’s site-wide cost rate.

Billable rate types

When selecting a rate on a project, the Billable rate type dropdown shows all rate options available for that project. The options shown depend on which rate types exist for the user, role, client, and project.

The default billable rate assigned to a user on the People page.
Project rate
A custom rate applied specifically to the current project.
Primary role (client rate)
The client-specific rate for the user’s primary role.
Primary role (role rate)
The standard billable rate for the user’s primary role.
Client rates
Additional client-specific role rates available for the project’s client.
All roles
The standard role rates defined across your organization.

Multi-currency behaviour

  • Site admins can define separate site-wide billable rates per currency.
  • Role billable rates can also be set per supported billing currency.
  • Project billable rates always use the project’s billing currency.
