Client rates are available (with limits) on Grow and Scale subscriptions.
Client rates build on roles. Create roles first in PeopleRoles.
Feature overview
What
Set client-specific billable rates that you can apply across a client’s projects.
Why
  • Align billing with negotiated client agreements and special pricing.
  • Keep pricing consistent across projects without editing individual user rates.
  • Reduce manual rate adjustments when teams and roles change.
Who
  • Site admins set role rates and client rate variations.
  • Anyone with access to a project’s Finance area can choose which billable rate type applies to that project (subject to their permissions).
When
Use client rates when a client has pricing that differs from your standard role rates and you want that pricing available across all of their projects.

Quick walkthrough of role rates and client rate variations in Teamwork. View full transcript

Before you start

  • Roles (required): Create your roles in PeopleRoles. Those global roles are what appear under each client’s Role rates tab.
  • Standard role (recommended): If a role has a standard billable rate set, you’ll see it in the client Role rates tab as the Standard rate anchor. You can still set a client-specific rate even if the standard rate is blank.
  • Multi-currency: If you use multiple currencies, confirm your role rates are set for each currency you bill in.
Client role rates are read-only for role creation and assignments. To add roles or change role assignments, update them in PeopleRoles.

Set client rates

  1. Select Clients in Teamwork.com's main navigation.
  2. Select the client you want to configure.
  3. Open the Role rates tab.
  4. Use Standard rate as your reference point, then enter the client-specific rate for the roles you want to override.

Only enter client rates for roles where the client’s agreement differs. If you leave a role blank, you can still use the standard role rate for that role.

Apply a client rate to a project

Client rates become selectable from a project’s FinanceRates area once they’re configured for the project’s client.

  1. Open the project and go to Finance.
  2. Select the Rates tab.
  3. Open the Billable rate type dropdown and choose the rate you want to apply (for example, the client variation of a role rate).

Billable rate type options on a project (table format)
Rate type
What it means
User rate
The default billable rate assigned to an individual on the People page.
Project rate
A custom rate set specifically for this project.
Role rate
The standard billable rate for a role (set in PeopleRoles).
Client role rate
A client-specific variation of a role rate (set in ClientsRole rates).

If you edit the numeric amount after selecting a rate from the dropdown, the rate becomes a Project rate. To change a role rate or client role rate, edit it in the relevant Roles or Client page instead.

How client rates affect time logs

  • Once a client role rate is selected on a project, time logged will use that rate based on the effective rate date in the project’s Rates area.
  • Client role rates are shown alongside standard role rates so you can quickly compare the client variation to your baseline pricing.
