What are quote templates?

Quote templates are reusable quote structures that can be selected when creating a new quote. They help you start from saved quote content instead of recreating the same quote setup each time.

Templates are created and managed in Settings > Quotes > Custom templates. Once a template has been created, it can be selected from the Create from dropdown when adding a quote.

Manage quote templates

Use the custom templates area in quote settings to search for, create, and manage quote templates.
  1. Click your profile icon and select Settings.
  2. Switch to the Quotes tab.
  3. Select Custom templates.

You can also open template management from the add quote flow.
  1. Go to Finance > Quotes.
  2. Click Add quote.
  3. Open the Create from dropdown.
  4. Select Manage quote templates.
Quote templates are created in Settings > Quotes > Custom templates. The add quote flow lets you select an existing quote template or open template management.

Create a quote template

Create quote templates from the custom templates area in quote settings.
  1. Click your profile icon and select Settings.
  2. Switch to the Quotes tab.
  3. Select Custom templates.
  4. Click Create a template. If no templates exist yet, you can also click Add template from the empty state.
  5. Enter the Template name.
  6. Choose how to create the template using Create from:
    • Create from scratch
    • Create from project
    • Create from project template
    • Create from task lists
  7. Select the template Currency.
  8. Select the Pricing model.
  9. Optionally apply a discount or tax.
  10. Choose the Default billable rate type:
    • User rate
    • Role rate
    • Client rate
  11. Optionally add notes. Notes are displayed at the end of the quote.
  12. Click Continue.
The template currency does not restrict where the template can be used. The template works for any currency. Amounts are not converted; only the currency symbol changes.

Build a quote template

After you continue from the create template form, the template opens in a quote-style editor. A banner identifies the item as a quote template, and changes are saved automatically.

Use Add line item to add the work, expenses, or custom costs you want to reuse in future quotes. As you build the template, the totals area updates to show the billable amount, cost, profit, and profit margin where applicable.

You can also use Edit details to update the template details, such as the pricing model, default billable rate type, discount, tax, or notes.

Create a quote from a template

Use this workflow when you want a new quote to start from a saved quote template.
  1. Go to Finance > Quotes.
  2. Click Add quote.
  3. Select the Client for the quote.
  4. Open the Create from dropdown and select Create from quote template.
  5. Choose a template from Select a quote template.
  6. Choose how rates should be handled.
  7. Set the quote's Issue date and Valid until date.
  8. Click Continue.

Rate options

When creating a quote from a template, use Rates should to choose how values are applied to the new quote.
  • Match fixed values from the template: Uses the values saved on the template.
  • Use most up to date values: Refreshes rates using the current configured values where applicable.

Currency behaviour

Quote templates work for any currency. Amounts are not converted when a template is reused on a quote; only the currency symbol changes.
For example, a value saved as 100 in a template remains 100 in the new quote. If the quote uses a different currency, the currency symbol changes but the value is not converted using an exchange rate.
