High-level overview of managing quotes
What
Manage existing quotes by updating details, refining scope and costs, and progressing quotes through key statuses.

Find and view quotes

Quotes are managed under each client. Use the client’s Quotes tab to review quotes and open individual quotes for more detail.
  1. Go to Clients and select the relevant client.
  2. Open the Quotes tab to view the quotes list.

  3. Select a quote to open it and review details, line items, and totals.

Update quote status

Use statuses to track where a quote is in your review and approval process.
  • Draft: The quote is being built or reviewed internally.
  • Open: The quote has been shared and is awaiting a client response.
  • Accepted: The quote is approved and ready to move into delivery.
  • Rejected: The quote is not proceeding.

To update a quote’s status:
  1. Open the quote.
  2. Click the options button (three dots) in the quote's top right.
  3. Hover over Update status.
  4. Select the appropriate status (Draft, Open, Accepted, or Rejected).

Quickly update a quote's status in a client's Quotes list. Click a quote's current status to view and switch to an alternative status.

Edit a quote

Quotes remain editable after creation, so you can update details and refine scope as work and pricing evolve.
  • Details: Click Edit details in the quote's header to update quote details such as dates, discount, tax, or notes.
  • Line items: Click fields in a line item to edit and reflect changes in work, time, or billable costs.
  • Sections: Click Add section to create additional quote subsections.
    Use drag and drop to reorganize line items between sections.
  • Review the totals summary as you edit to confirm the quote remains accurate.
Line items can represent time-based work (tasks and allocations), billable expenses, and other custom items.

Assign people or roles

Assignments support planning and rate calculation as you refine a quote’s scope and cost.
  • Assign line items to a specific person to reflect who is expected to do the work.
  • Assign line items to a placeholder role (for example, Designer or Project Manager) when staffing isn’t confirmed yet.
Assignments are used internally and are not shown on exported client quotes.

Review totals and profitability

As you update quote details and line items, totals update automatically. Before exporting or converting a quote, review the totals summary to confirm the quote is ready to proceed.
  • Confirm the quote total reflects the intended scope and pricing.
  • Confirm discount and tax (if used) are applied as expected.
  • If available, review cost, profit, and margin to validate viability before delivery.

Export and share quotes

Accepted quotes can be exported to PDF at any time for sharing with clients. 
Exported quotes only include client-facing information such as line items, totals, and notes. Internal details like costs, profit, margin, and assignments are not shown.
  1. Click Clients in Teamwork.com's main navigation menu.
  2. Select the relevant client.
  3. Switch to the Quotes tab.
  4. Scroll to the relevant quote.
  5. Click the ellipsis (three dots) on the quote's right.
  6. Select Export to PDF.
Understand the quote information that's included in PDF exports. Open a quote and click Quote preview.

Convert a quote to a project

Accepted quotes can be converted directly into delivery projects.
  1. Open the quote.
  2. Click Convert to project and confirm project details.
Converting a quote preserves scope and pricing while creating a delivery-ready project linked back to the original quote.
