Overview of adding and building quotes
What
Add quotes in Teamwork.com to outline scope, costs, and pricing for client work, with line items that represent scoped work and costs.

Access the Quotes area

Quotes are managed per client.

  1. Click Clients in the main navigation.
  2. Select the relevant client.
  3. Open the Quotes tab.

Step 1: Add a quote

Add the key details that define your quote before building line items.

  1. From the client’s Quotes tab, click Add quote.
  2. Complete the required fields and any optional fields you need.
  3. Click Continue to start adding line items.

Required fields

  • Client: Automatically set when adding a quote from a client.
  • Quote no.: Fully customizable to match your numbering scheme.
  • Create from: Start from scratch or base the quote on a project, project template, or task lists.
  • Issue date and Valid until: Define when the quote is issued and how long it remains valid.
  • Pricing:
    • Fixed price: Enter the total amount up front. Line items describe scope and costs.
    • Time and materials: The total updates automatically based on line items, discount, and tax

Optional fields

  • Discount: Apply a percentage or fixed discount.
  • Tax: Apply one or more tax rates.
  • Notes: Optional notes shown on the quote.

Step 2: Add line items

Add line items to represent time, capacity, and billable costs included in your quote. Totals update automatically as you build.

  1. Click Add line item.
  2. Enter a line item title.
  3. Select the item type:
    1. Task: Time for task-based work (hours)
    2. Allocation: Planned capacity for a person or role (hours)
    3. Expense: Billable costs such as software or travel.
    4. Other: Custom items.
  4. Set the item quantity (ex. 4 for an allocation's total hours).
  5. Assign who is responsible for the line item.
    1. Task / Expense / Other: Assign item to a specific person.
    2. Placeholder: Assign item to a specific person or placeholder role
      Assignments are used internally for planning and rate calculation and are not shown on exported quotes.
  6. Complete remaining relevant fields. Changes save automatically.
  7. Review quote totals: subtotal, discount, tax, quote total, cost, profit, and margin.
  8. Repeat steps 1 to 8 for each additional item needed.

Use sections to organize and group related line items.

Once a quote is accepted, you can convert it into a project to begin delivery without recreating scope or pricing.
