What
Use Board view to create a stage-based visualization of a project's tasks (also known as cards) representing points of progress through the project's key stages.
Why

Before you start

  • Free Forever subscriptions are limited to 3 Board view stages with 10 cards populated in each stage on each project.
  • Tasks are automatically hidden once marked complete — use filters to show completed tasks in Board view.

Create Board view stages

Build out a project's Board view to match the phases your team's work progresses through.

  1. Click Jump to in Teamwork's left navigation menu. 
  2. Search for and select a project. 


     
  3. Select the Board tab in the project's navigation menu.
  4. Click Add stage on the existing stages' right. Starting from scratch? Click Add stages.
  5. Enter a stage name and press EnterOur advice: create one stage for each step tasks go through in your workflow. As always, keep names short and descriptive.
  6. Click the color circle on the stage name's left and select a stage color from the picker.
  7. Repeat steps 4 to 6 for each additional stage you want to create.

The stages are added to the project’s Board view. You can edit, update, and add new stages as your project grows.

💡 Task Backlog
The Backlog stage is pinned on the board's left and is populated with the project's active tasks currently not assigned to a stage.

Stage options

  1. Click the three dots (ellipsis) on a stage name's right.
  2. Choose an option:
    1. Create automation: Create a board stage automation to auto-update tasks when they're added to the stage.
    2. Collapse stage: Minimize the stage vertically. This helps maximize screen space by collapsing the stage(s) you're not actively working on.
    3. Delete stage: Delete the board stage. Any tasks on the stage are returned to the tasks backlog. 

💡 Task counts
The count on a stage name's right reflects the total number of tasks currently visible in the column (based on active filters).
💡 Reorder stages
Click and hold a stage, then drag and drop it to a new position in the workflow.

Create new tasks

Once a project’s Board view has active stages, you can create new tasks directly in the stages.

  1. Scroll to the stage you want to add a task to.
  2. Click + Add a task.

  3. Enter the task name. 
  4. Click Select task list and choose one of the project's active task list to add the task to.
  5. Select the user icon (Image Placeholder) and choose the task's assignee(s).
  6. Click any of the property icons to apply any relevant additional task details:
    1. Start and end dates
    2. Tags
    3. Estimated time
    4. Priority
  7. Press Return on your keyboard or click away from the task to save it.

The task is added to the selected stage. The task is visible in each task view (List, Table) with the assigned stage indicated.

Manage tasks through stages

  • Backlog: Drag a task from the backlog to any of the board's other stages. The backlog holds the project's active tasks currently not assigned to a stage.
  • Change stage: Click and drag a task from one stage to another.
  • Remove from stage: Click and drag a task to the Backlog.
  • Complete a task: Click the checkmark to complete a task and automatically hide it from the stage. Use filters to display completed tasks.

Sort, search, and filter

Sort tasks

Click Sort by in the view's top right to choose how tasks are sorted within the Board's stages. Choose from predefined sort options such as due date or priority level.

The default sort is None — this allows you to drag and drop tasks within a stage to manually reorder them.

Search for tasks

Use the search field in the view's top right to locate tasks based on task or task list name.

Filter tasks

  1. Click the Filter button () in the view's top right.
  2. Click a filter option (ex. dates or assignees).
  3. Select the corresponding filter criteria you want to apply.
  4. Repeat steps 2 and 3 for each additional filter you want.
  5. 📝 Set the Task status filter to completed tasks and choose a completion period or set it to all tasks to display completed tasks in the stages.
 
The stages update automatically to only show tasks matching the filter criteria you select.

💡 Save filters with your frequently used criteria for easy application in the future.

Best practices

  • Use clear stage names: Label each stage on your board clearly (descriptively and concisely). Make sure that team members understand the purpose and stage represented by each stage.
  • Hold progress meetings: Discuss task progress through the board stage, address any obstacles, and make any necessary adjustments to the workflow or task prioritization.
