Views

The Schedule provides different perspectives to plan and monitor your work. Available views depend on your subscription. Each view includes visual roll-ups that summarize capacity and allocation activity:
  • Projects view: See allocations grouped by project to plan delivery timelines and budgets. Each project row shows a daily bar indicating allocations and unavailable time.
  • People view: See allocations grouped by person to understand workloads and overall team balance. Each user row shows capacity color cues (green for available, red for over-allocated). People view is available on Scale plans.
Roll-ups are hidden when grouping by Role.

The Schedule’s top toolbar adapts based on your selected view (Projects or People).
Use the controls at the top of the Schedule to explore and adjust your timeline.
  • Date range selector: Move between predefined or custom date ranges to focus on a specific planning period.
  • View selector: Switch between day, week, or month views to adjust the level of timeline detail.
  • Filter menu: Filter by projects, people, roles, placeholders, companies, and other attributes to focus on specific scheduling data.
  • Search: Quickly locate a project, person, or company.
  • Color legend: Identify allocation types, tentative projects, and unavailable time by color.

Use the Insights panel

The Insights panel updates as you change the Schedule date range. Use it to review capacity, allocation, budget, and financial metrics for the visible planning period.
Insight values are calculated for the selected date range and only include projects you can access.

Capacity insights

Capacity insights help you compare available hours against planned work so you can quickly understand remaining team capacity.
  • Total available: Total person-hours available for scheduling during the selected time period.
  • Total allocated: Total hours allocated across people during the selected time period.

Financial insights

Financial insights help you evaluate the budget and profitability impact of planned work before projects are delivered.
  • Financial budgets: Planned financial budget usage during the selected time period.
  • Time budgets: Planned time budget usage during the selected time period.
  • Forecasted revenue: Expected revenue from planned work during the selected time period.
  • Forecasted cost: Expected cost from planned work during the selected time period.
  • Expense costs: Expense costs during the selected time period.
  • Forecasted profit: Expected profit from planned work during the selected time period.

How financial insight calculations work

  • Forecasted revenue: Allocation hours × billable rate + billable expenses.
  • Forecasted cost: Allocation hours × cost rate + expenses.
  • Forecasted profit: Forecasted revenue - forecasted cost - expenses.

Group and filter

Refine what you see in the Schedule using grouping options and filters.
  • Grouping (Image Placeholder) defines how rows expand in each view:
    • Projects view: Groups the list of members under each project by their associated role.
    • People view: Groups each user based on their role.
  • Filtering () defines the data populated in the timeline. Options vary per view:
    • Projects: project, category, owner, company, user, placeholder, role, project type, and only projects with allocations.
      • Scale only: adjust availability based on calendar data.
    • People: project, user, placeholder, role, skill, team, and only projects with allocations.
      • Scale only: adjust availability based on calendar data.
If a project or person is missing from the Schedule, they may not yet have any allocations. See Add resources to include them manually.

Timeline interactions

The Schedule timeline is fully interactive. You can drag, drop, and resize allocations directly from the timeline.
  • Click an allocation to open its details and edit hours, type, or assigned user.
  • Click and drag to create new allocations or unavailable time blocks.
  • Hover to see tooltips summarizing time, role, or project details.
  • Resize an allocation edges to extend or shorten its duration.

These controls make it easy to adjust allocations directly without opening separate panels.
