What
Navigate the Schedule to view and adjust allocations, unavailable time, and timelines across projects and people in one workspace.
Why
  • Understand project and resource capacity at a glance.
  • Switch between project and people views to balance workloads.
  • Use filters, grouping, and color cues to make informed resourcing decisions.
Who
  • Site admins can view, create, and manage allocations, unavailable time, placeholders, and tentative projects in the Schedule.
  • Standard users with the following profile permissions can use the Schedule:

    • Access resource scheduling: lets users view the Schedule and all allocations for anyone on projects they are a member of.
    • Manage resource scheduling: lets users create and edit allocations on projects they are a member of.
Client users and collaborators do not appear in the Schedule and cannot be assigned to allocations, unavailable time, or tentative projects.
People view is available on Scale plans.
When
Use the Schedule whenever you need an overview of timelines, capacity, or planned downtime.

Views

The Schedule provides two key perspectives to plan and monitor your work. Each view includes visual roll-ups that summarize capacity and allocation activity:
  • Projects view: See allocations grouped by project to plan delivery timelines and budgets. Each project row shows a daily bar indicating allocations and unavailable time.
  • People view: See allocations grouped by person to understand workloads and overall team balance. Each user row shows capacity color cues (green for available, red for over-allocated).
Roll-ups are hidden when grouping by Role.

The Schedule’s top toolbar adapts based on your selected view (Projects or People).
Use the controls at the top of the Schedule to explore and adjust your timeline.
  • Date range selector: Jump to a specific week, month, or custom date range.
  • Zoom controls: Switch between weekly, monthly, or quarterly views.
  • Filter menu: Filter by project, team, role, or availability to focus on specific groups.
  • Search: Quickly locate a project, person, or company.
  • Color legend: Identify allocation types, tentative projects, and unavailable time by color.

Group and filter

Refine what you see in the Schedule using grouping options and filters.

  • Grouping (Image Placeholder) defines how rows expand in each view:
    • Projects view: Groups the list of members under each project by their associated role.
    • People view: Groups each user based on their role.
  • Filtering () defines the data populated in the timeline. Options vary per view:
    • Projects: project, category, owner, company, user, placeholder, only projects with allocations.
      • Scale only: adjust availability based on calendar data.
    • People: project, user, placeholder, role, skill, team, only projects with allocations
      • Scale only: adjust availability based on calendar data.
If a project or person is missing from the Schedule, they may not yet have any allocations. See Add resources to include them manually.

Timeline interactions

The Schedule timeline is fully interactive. You can drag, drop, and resize allocations directly from the timeline.
  • Click an allocation to open its details and edit hours, type, or assigned user.
  • Click and drag to create new allocations or unavailable time blocks.
  • Hover to see tooltips summarizing time, role, or project details.
  • Resize an allocation edges to extend or shorten its duration.

These controls make it easy to adjust allocations directly without opening separate panels.

Tips for effective navigation

  • Toggle between Projects and People views to see both capacity and delivery perspectives.
  • Apply filters for “Overallocated” or “Underallocated” to identify imbalances quickly.
  • Use the Insights bar (Scale only) for a high-level summary of available time, allocated time, and potential revenue.
  • Zoom out to quarterly view to review long-term capacity trends.
