View users' capacity


View each user's capacity breakdown and availability from the Overview's table.

  1. Click Planning in Teamwork.com's main navigation menu. Planning might be hidden under the ... More option.
  2. Switch to the Overview tab.
  3. Scroll to the relevant user row in the table.
  4. Hover over the Total Capacity bar to view the corresponding hours associated with the capacity percentages.


     
The table view provides time and allocation breakdowns for each user within the date range being viewed.

Column
Purpose
Name
User's name and profile icon.
Available time
User's available hours for the given date range:
Available time = working hours - unavailable time
Allocated time
User's total allocated hours assigned to them in the given date range via Schedule allocations.
  • Allocated time is distributed evenly across its assigned days — if an allocation only falls partly within the date range being viewed, only the time associated with the days that are within the date range are counted.
✔️ This column is available on Scale subscriptions.
Estimated time
Total estimated time set across the user's assigned tasks. 
  • Estimated time is distributed across a task's duration (days) — only the pro-rated estimated time for the task's days (between its start and end dates) that fall within the date current range is counted.
  • 📝 Split capacity causes uneven distribution of estimated time across days.
Logged time
User's total time logged against projects and tasks within the given date range.
💡 Click the logged time total to open a slide out panel with the user's associated time logs.
Remaining time
Remaining estimated time on on the user's tasks after they've logged time.
Remaining time = total estimated time - total logged time
Total capacity
User's estimated time as a percentage of total capacity (available time) for the given date range:
Capacity usage = available time - estimated time

Column
Purpose
Name

Logged time
User's total time logged against projects and tasks within the given date range.

Customize columns

Customise your view by using column sorting and activating different columns.

Sort columns

Sort the table based on individual columns.

  1. Click a column heading to sort the table based on that property.
  2. Next:
    1. Change order: Click the column heading again to reverse the sort order.
    2. Change sort: Click a different column heading to switch the sort preference.

Manage columns

Customise the table to only show columns relevant to your reporting needs.
📝 The Name column is fixed and cannot be hidden or repositioned.

Show / hide
Click the plus (+) on the table header row's right, then use the toggles to choose which columns to show and hide.
Resize
Hover over a column heading. Click and hold the left or right edge of the column, then drag it to expand or reduce the width.
Reorder
Click and hold a column heading, then drag the column to a new position in the table.
Show / hide
Click the plus (+) in the table's top right, then use the toggles to choose which columns to show and hide.
Resize
Hover over a column heading. Click and hold the left or right edge of the column, then drag it to expand or reduce the width.

The bar chart provides a birds-eye view of your organization's cumulative hours (aka aggregated time data across all users (or all filtered users).
  • The bars represent the cumulative hours across all users in each time interval (day, week, or month) for the given date range.
