Who
  • Site admins in the owner company must enable Outlook Calendar in Apps & integrations before users can connect. They can enable it for the whole site or a subset of users.
  • Site admins and standard users in the owner company can access My calendar and connect Outlook Calendar. Once connected, users can:
    • View events they’re invited to
    • Respond to invitations
    • Edit events they organize
    • Log time from events
When
Use this when you want meetings and project work visible in one place, and the ability to log time directly from events.

Before you start

  • My calendar is your personal calendar view where you can view tasks, schedule time blocks, and plan your day and week.
  • All-day events (e.g. out-of-office) appear in the all-day panel in My calendar.
  • Your ability to view or edit an Outlook event in Teamwork.com depends on your Outlook permissions and how the event was created.
  • You can't edit recurring Outlook events in Teamwork.com.
Third-party tools that create Outlook events can sometimes affect sync. If you notice issues, re-authorize in My apps.

Enable Outlook Calendar

Some sites require an admin to enable Outlook Calendar before users can connect.

  1. Click your profile icon in Teamwork.com's main menu.
  2. Select Apps & integrations.
  3. Scroll to Outlook Calendar.
  4. Click Enable (if available).
Tip
If you don’t see Outlook Calendar as an option, your site may not have access yet. Ask a site admin to review Apps & integrations.

Connect to Outlook Calendar

Choose either of the following connection methods:

Step 1: Open the connection flow

  1. My calendar: Click HomeMy calendar. Click Connect to Calendar and select Outlook Calendar.

  2. My apps: Click your profile iconMy apps. Scroll to Outlook Calendar and click Sign in with Microsoft.

Step 2: Authorize Teamwork.com

  1. Select the Microsoft account you want to connect and sign in.
  2. Review the access screen and click Accept to grant Teamwork.com permission to view and manage Outlook Calendar events.

  3. Click Close to finish.

Step 3: Review availability sync (Scale only)

Users whose Teamwork.com site is on the Scale plan have an additional Outlook Calendar sharing option. See Plan capacity with Outlook Calendar events for details.
  • Purpose: Share Outlook Calendar events in Planning views (Workload Planner, Schedule, Overview) so managers can adjust your capacity based on meetings and assigned work.
  • Default: When you connect Outlook Calendar, events are synced to My calendar. Availability syncing depends on your plan and site settings.
  • What’s shared: Events with two or more invitees you’re attending (Yes/Maybe/Tentative) and out-of-office. Private events appear as “Busy.” Declined events don’t count toward capacity.
  • Turn off now or later: Profile iconMy appsOutlook Calendar → toggle:
    • Syncs Outlook events to Teamwork.com’s my calendar (controls whether events appear in My calendar).
    • Syncs Outlook events to your availability in the planning areas (controls whether events affect capacity in Planning views).

View Outlook Calendar events

Once authorized, your Outlook Calendar events sync to your personal Teamwork.com calendar. Click HomeMy calendar to view.

Log time from an Outlook Calendar event

Track and log time spent on Outlook Calendar events to associated projects and tasks.
Permissions
You can only log time on projects where you have permission.
  1. Go to HomeMy calendar.
  2. Scroll to the relevant Outlook event.
  3. Hover over the event and click the clock icon.

  4. Review and update the time log details, then save.

A time log is created in the selected project and visible in the project’s Time area.
To update or delete the time log:
  • Edit: Click the event, then select Edit time log.
  • Delete: Click the clock icon again, select Delete time log, then confirm.

Edit an Outlook Calendar event

Recurring Outlook Calendar events can’t be edited in My calendar.
Use drag-and-drop in My calendar to update linked Outlook events (timed or all-day). You can change start/end times for timed events, start/end dates for all-day events, and the day they fall on.
  1. Go to HomeMy calendar.
  2. Find the event (use the date picker to navigate).
  3. Hover the event:
    • Reschedule: drag the event to a new time/day.
    • Adjust duration: drag the top/bottom edge to extend or reduce the length.

Edits are reflected in both My calendar and your Outlook Calendar.

Disconnect Outlook Calendar

  1. Open HomeMy calendar.
  2. Click My calendars in the top-right.
  3. Hover your linked account (your email address) and click the trash can.

  4. Select Yes, remove to confirm.

Alternatively:
  1. Click your profile icon in Teamwork.com's main navigation menu.
  2. Select My apps.
  3. Scroll to the Outlook Calendar tile.
  4. Click the ellipsis (three dots) next to the connected calendar, then select Remove sync.
  5. Select Yes, remove to confirm.

Your Outlook Calendar account is unlinked, and all Outlook events are removed from your Teamwork.com calendar.
