Within Teamwork Spaces, you can
create shareable links to individual pages,
making them publicly available outside of your
site.
While viewing a page, select
the Share button in the top
right.
Note: Only space managers, editors, and site administrators have permission to share pages publicly.
In the share modal, you can either
create a shareable link for the page or invite
specific users via email.
Using a shareable link
To create a public link to your
page, select the Use a shareable
link option. The link sharing
field will be updated with a public URL of the
page and you will have an option on the right
to copy the link.
Anyone sent a copy of this shareable
link will be able to access the page in view
mode and add comments to it.
Sending email invites
You can also share a page with specific
individuals via email. When you type an email
address into the invite field, click Enter or Space on your keyboard
to select the email
address. Once you have added all relevant
addresses, click Send
invites.
Each selected person will receive an
email invitation to view the relevant
page.
Managing shared pages
When a page has sharing enabled, the
button will display
as Shared in the top right of
the page while in view mode.
Click
the Shared button to view and
manage the share settings.
To disable the link sharing option
only, click Remove shareable link to the right of the URL.
You can also revoke access to
individuals the page has been shared with via
email by clicking the x to the right of
their email address in the Who has
access section of the
modal.
At the top of the share modal, you
can also use the Access
enabled toggle to revoke all
shared access to the page.
When someone attempts to access a
page that is no longer shared, they will see a
message that the page is no longer publicly
available.
Viewing a shared page
When someone accesses a page via a
share link or email invite, they will
be directed to a single page view of
the content, powered by Teamwork
Spaces.
They will see the page banner and
icon as well as the page title and
contents. The creator and last updated
information for the page will also be
visible.
At the bottom of the page, they will
also have access to a comments area
where they can add comments to the
page.
Once a reader
clicks Submit on
their comment, a pop-up modal will
open requesting additional details.
For people accessing the page via the
shareable link, they will be asked to
input their name and email address.
For people accessing via email invite,
the email address will automatically
be registered so only name fields will
be shown.
When users of your
Teamwork Spaces site view the
page within Teamwork Spaces,
these comments will be
differentiated with a default
avatar. Hovering over the
avatar will show
a Guest
User tooltip.
You can react to these comments,
however the reactions will not be visible in
the shared version of the page.
If you delete a comment from a guest
user, it will also be removed from the shared
page view.
Users will also get a bell
notification when an external person comments
on a page they are following.
