Within Teamwork.com, you can view and manage each of your projects in a Gantt chart, giving you a visual timeline of your tasks, task lists and milestones.

This article covers the basics: opening the Gantt chart, finding your way around, changing dates, working with dependencies, and filtering, printing or exporting your chart.

Opening the Gantt chart

While viewing your project, select the Gantt tab. You can also press G on your keyboard from any area of the project.

Understanding the chart

The Gantt view has two parts:
  • Task lists sidebar - the column on the left lists your task lists, tasks, subtasks and milestones. Click the arrow beside a task list to collapse or expand it.
  • Timeline - the main area on the right shows each item on a calendar timeline.

On the timeline:
  • Tasks appear as coloured bars that run from their start date to their due date. Each task shows the person assigned and its duration.
  • Task lists are shown in the chart above their tasks, so it is easy to see which tasks belong to each list.
  • Milestones appear as diamonds on the day they are due. Only milestones attached to a task list appear on the Gantt chart.
  • Dependencies appear as arrows linking one task to another.

Moving around the chart

  • Scroll with your mouse or trackpad to move up and down through the chart.
  • Zoom using the zoom options at the bottom of the screen.
  • Full screen - click the expand arrows in the upper right of the chart, or click the three dots and select Fit-to-window.
  • Collapse or expand all task lists - click the three dots and select Collapse/Expand All Task Lists. Task list names and milestones stay visible when collapsed.
  • Show or hide the sidebar - hover over the task lists sidebar and click the arrow. You can also drag its border to resize it.

Changing task dates and progress

  • Move a task - click anywhere on the task bar and drag it to a new position. The task keeps its full duration.
  • Change the start or due date - drag either end of the task bar. The new dates are shown on the bar as you make the change.
  • Set progress - hover over the bottom left of a task bar to reveal the hand icon, then click and drag to set the progress percentage. To edit existing progress, hover over the point where the progress currently ends.
  • Undo and redo - use the arrows in the upper right corner. Your change history is cleared when you refresh the page.

Note: The minimum duration for a task is one day.

Adding task lists

Click Add Task List in the upper right of the Gantt view, or click the plus icon at the bottom of the task lists sidebar. Type a name for the list and press Enter / Return to create it.

Working with dependencies

Dependencies make sure tasks are completed in a particular order.

To create a dependency, hover over the task you want completed first. Click the grey dot that appears to the right of the task and drag it to the task that depends on it. An arrow links the two tasks.

To remove a dependency, hover over the first task, click the grey dot, and click the X beside the dependent task.

Once a dependency is created, the dependent task shows a blocked icon in the List and Table views until the first task is completed.

When you move a task that has dependencies, related tasks may move with it to avoid date conflicts. For example, if a task cannot start until another is completed, dragging it earlier than the first task's due date will push the first task's dates too.

Filtering and completed tasks

Click the filters button in the top right of the Gantt view to open the filters pane. You can filter by assignee, tags, priority, board column and date created, and the chart updates automatically.

To include completed tasks in the chart, turn on the option in the Options section of the filters pane.

Note: Gantt filters are only available on paid per-user subscription plans.

Critical path

The critical path highlights any tasks that would affect the whole project if they were moved. Click the three dots in the top right and select Show Critical Path. Affected tasks are shown with a red border.

Skipping weekends

You can hide weekends (Saturday and Sunday) in the Gantt chart so start and due dates do not land on them. When enabled, durations are calculated in business days, and items falling on a weekend are shown on the nearest weekday.

Note: This setting applies to everyone on the project, and only administrators can turn it on. Task dates are only changed once you save.

How task list progress is calculated

Task list progress is based on each task's duration and progress, so longer tasks count for more. Each task is tracked on its own, meaning subtask progress does not change the parent task's progress. Completed tasks are only included when they are shown in the chart.

Printing and exporting

  • Print or save as PDF - use the print option in the Gantt view, then choose Save as PDF as the destination if you want a PDF.
  • Export to Microsoft Project or GanttProject - go to the List area of your project, click the three dots in the top right, hover over Reports and select Gantt Chart Export. Microsoft Project files export as .XML and GanttProject files as .GAN.
