What
Task templates are like placeholder task lists for tasks you're likely to use repeatedly. Manage your site's task templates.
Why
  • Review existing templates regularly to ensure only relevant and useful templates are active.
  • Ensure accuracy by making changes to templates as workflows change.
  • Save time by duplicating existing templates. Use the copies as a foundation without having to build from scratch.
Who
  • Site admins (in the owner company)
  • Standard users with the profile permission to:
    • Manage task templates (allows users to access the task templates area, create & manage task templates, and save task lists as templates). 
    • If a user also has permission to add task lists or add tasks on a project, they can create task lists or tasks from templates.
When
Any time processes change, review and update affected templates to reflect those changes.

Access task templates

  1. Click your profile icon in Teamwork.com's main navigation menu.
  2. Select Settings.
  3. Switch to the Templates tab.
  4. Scroll to Task templates.
  5. Click Set-upAlready have some templates? Click Edit.
     


Filter templates

Filter the tasks shown in the templates.

  1. Click the filter button () in the view's top right.
  2. Choose the filter option(s) you want to filter by:
    1. Keyword
    2. Assigned to
    3. Priority
    4. Tags
    5. Options:
      1. Include blocked tasks
      2. Include subtasks
      3. Only tasks with Desk tickets

The templates update to only show contained tasks matching all selected filter criteria.
  • Click Save to save the active criteria as a saved filter for future use.
  • Click Clear to remove the filters and reset your view.

Options

  1. Click the ellipsis (Image Placeholder) in the view's top right.
  2. Select an option:
    1. Collapse all task lists.
    2. Expand all task lists.
    3. Reorder task lists (by task list name, number of tasks, date created, or manually).


Task template options

  1. Scroll to the relevant template.
  2. Click the ellipsis () on the template heading's right.

  3. Choose an option from the dropdown:
    1. Edit: Update the template's name, description, privacy.
    2. Duplicate: Make a copy of the template. A new template is created at the bottom of the existing templates list. You can leave it as is or rename it, manage its existing tasks, and create new ones.
    3. Delete
    4. Reorder tasks by: start date, due date, date created, person responsible, priority, task name, estimated time.
    5. Bulk edit tasks
    6. Delete list



Drag and drop

Use drag and drop to reorder task templates in the list, move tasks to a new position in their existing template, or move tasks to another template. 

Task templates

  1. Scroll to the relevant template.
  2. Hover over the template heading.
  3. Click and hold the icon on the heading's left.
  4. Drag the template and drop it to a new position.

Tasks

  1. Scroll to the relevant template.
  2. Hover over an individual task.
  3. Click and hold the icon on the task's left.
  4. Drag the task and drop it to a new position within its existing template or to another template.
