What
A project-specific, role-based, unnamed resource that allows you to plan work without needing to assign a specific person right away.
Why

  • Start resourcing at a high level.
  • Ensure projects are resourced by expertise.
  • Reduce over-allocating resources.
  • Explore potential hiring situations.
  • Know how you're staffed and if you can agree to work.
Who
  • Site admins can manage allocations across all projects and people.
  • Standard users and client users with the profile permission to: 
    • Access resource scheduling (allows users to view the Schedule and any allocations (for anyone) across projects they're a member of).
    • Manage resource scheduling (allows users to create and edit allocations on projects they're a member of).
When
You don't need to be specific about team assignment in the beginning of planning—you just know a specific expertise is needed.
You want to mimic what a new hire could look like and begin allocating out work.

Before you start

  • Placeholders are project specific—you can't have the same Placeholder assigned allocations on different projects.
  • Filter by Placeholders in the Resource Scheduler to easily see what allocations need to be transferred to a names resource.

Add a Placeholder

  1. Click Planning in Teamwork.com's main navigation menu. Planning might be hidden under the ... More option.
  2. Switch to the Schedule tab.
  3. In the Projects tab, expand the desired project and click + Add placeholder
  4. If the desired Role the Placeholder is to fulfill is not listed, click + Add role
Once the Placeholder has been created, they will appear underneath the project, grouped within the Role, and you can begin assigning allocations to them.

Add and assign an allocation to a Placeholder


Allocations are blocks of time assigned against a resource for different types of work.

  1. Click Planning in Teamwork.com's main navigation menu. Planning might be hidden under the ... More option.
  2. Switch to the Schedule tab.
  3. In the Projects tab, expand the desired project and hover over an available slot within the Placeholders row.
    1. Click and drag from the first day you want the allocation to fall and drop to the allocation's end date. The allocation window opens where you can update its details.
  4. In the People tab, expand the Role that the Placeholder holds and hover over an available slot within the Placeholder's row.
    1. Click and drag from the first day you want the allocation to fall and drop to the allocation's end date. The allocation window opens where you can update its details.
  5. Click Save changes.

Transfer the allocation from a Placeholder to a team member

  1. Click Planning in Teamwork.com's main navigation menu. Planning might be hidden under the ... More option.
  2. Switch to the Schedule tab.
  3. In the Projects or People tab, locate the Placeholder and click the three dots to the right. Select Assign person.

  1. The transfer window will appear. Here lists resources that share the same Role of the Placeholder, along with their capacity.
  2. Once you know who you want to transfer the work to, click + Assign to the right of their name. Click Transfer & delete.
  3. All allocations have now been transferred and will automatically appear on the timeline of the selected resource. The Placeholder has been deleted.

No one available to take on the work? Remove filters in the transfer window to include teammates outside of the chosen Role, or search for a similar Role/Team if they are suitable for the work.
