Utilization Report
How does the track trends (month-over-month) view work?
Track trends now lets you select all available columns, not just one, on the week or month view. Grouping by up to 3–4 fields is being added, and export support for track trends is planned but not yet available.
Does user availability account for when a user was added to the site?
Yes — any period before a user existed on the site now correctly counts as 100% unavailable. Previously, users added partway through the year could show full availability retroactively, which has since been fixed.
Can I export the Utilisation Report with the track trends view?
Not yet — track trends data isn't included in exports today, though this is planned for a future update. In the meantime, taking a screenshot is a common workaround.
If a user has zero available time, utilisation shows as 0% — is that correct?
Yes, that's expected. When available time is zero, utilisation calculations (which divide by available time) show 0% rather than an error or an undefined result.
What is the difference between Billable Utilisation and Billable vs Non-Billable %?
Billable Utilisation is Billable Time ÷ Available Time — the percentage of someone's capacity that was billable. Billable vs Non-Billable % is Billable Time ÷ Logged Time — the percentage of time they actually logged that was billable. The two only match if someone logs exactly their full available hours.
Why don't all tasks appear when clicking estimated utilisation?
The drill-down view only shows tasks that have both a start and end date — tasks with only a due date are left out. The utilisation calculation itself is accurate; the drill-down view simply doesn't display every contributing task yet. This is a known limitation we're working to address.
Time Report
Are there plans to add Track Trends (month-over-month) to the Time Report?
Yes — this is one of our most requested features, and it's actively being built for the Time Report and Profitability Report.
Can I show allocated time on the Time Report?
Not yet — this has been discussed and may be added in a future update, though there's no confirmed timeline.
Does the Time Report support filtering by project custom fields?
Yes — this is available now across all Time Report types, including Logged Time per User, Logged Time per Project, and Client > Time.
Is there a report showing time logs with cost rate information for payroll?
Not in a single view today. The All Time page shows individual time logs but without cost information, while the Profitability Report shows costs but only in aggregate. This is a gap we know about, and we're adding expense columns to Custom Reports as a step toward closing it.
Why does the Time Report chart not show all months when the date range exceeds 1 year?
The chart labels months by name (Jan, Feb, and so on), so a date range spanning more than 12 months creates duplicate month names, and only one instance of each ends up showing data. This is a known display limitation we're looking at.
Can I audit when time was logged vs the timelog date?
On the All Time page, hover over the start or end date of any time log to see exactly when it was created — useful for spotting entries logged after the fact. Having this available as a column in exports is a feature request we're tracking.
Where can I see all unbilled/non-invoiced time across all clients?
A few options: the Time > All Time page with the "Invoiced" filter set to "Non-invoiced only" (optionally filtered by company); the Time tab inside an individual project with the same filter; or the Time Report with the "Invoiced Time" column added, to compare invoiced against total time.
