What
A single configurable report bringing allocated, estimated and actual revenue together in one view, with period-over-period trends and full drill-down to the underlying data.
Why
See what you planned to earn, what you scoped to earn, and what you actually earned, side by side — without exporting three reports into a spreadsheet. Spot projects drifting over budget or under-delivering while there's still time to act. Trace any figure back to the allocations, task estimates and time logs behind it.
Who
Owners and site admins (in the owner company) on the Scale (Optimize) plan can access the Financial overview report and view financial data for all of the site's projects and people.
When
Use at month end or quarter end to assess commercial performance, and ad hoc when a specific project or client needs investigating.

Financial Overview Report

Open the report

  1. Select Reports in the main navigation. If it's not pinned, find it under …More.
  2. Scroll to Teamwork reports.
  3. Select Financial overview, or search for it.

📝 About the BETA label: The report uses an improved calculation engine, so some figures may differ slightly from other reports.

Date range

Choose Day, Week, Month, Quarter, Year or Custom, then use the arrows to step forward or back. The default is This quarter, and there's no limit on how long a range can be.

Grouping

Group by Client, Project, User, Role, Task list, Task or Team, then choose an optional second level. The default is Client > Project.

📝 Note: When you group by Team, a person in several teams appears under each one, so team rows can add up to more than the total. People who aren't in a team aren't shown.

Columns

Open Manage columns from the options menu, or select + in the column header. You can show up to 20 columns per tab, grouped into Financial, Budget, Time, Availability and Utilization. Search, drag to reorder, and toggle columns on or off.

Every column can be sorted and resized. The Name column stays fixed on the left.

Some columns only apply to certain groupings. Available time applies to a user, not a client. These are hidden when they don't apply, and come back when you switch grouping. Turn on Show compatible columns only to filter them out of the drawer.

Track Trends

Track Trends breaks columns down by period, so you can see whether a metric is improving or slipping. It's on by default, tracking Allocated time ($), Estimated time ($), Revenue (time based) and Revenue by month. You can track up to 10 columns.

  • Hover a period label to see whether it's Past, Ongoing or a Forecast.
  • Quarter grouping is available for ranges over six months, and Year for ranges over two years.
💡 Tip: An allocation or task that spans several periods is split across them. Each period shows its share; the row total is the full figure.

The trends chart

The chart plots your tracked metrics.

  • Hover a point for exact values, including the confirmed and tentative split.
  • Click a legend item to show or hide it.
  • The Today line marks the current date; forecast periods are faded.
  • Change the chart's own grouping if you need to. It starts at your Track Trends grouping.
  • Use Show as to display metrics as bars, lines or areas.
  • If metrics use different units, switch between Money, Time, Percentage and Rates beside the legend.

Drill into a figure

Click a value cell to see the allocations, estimates or time logs behind it, with the rate applied to each line. Cells with no data, Billable time ($) and Total costs don't open a panel.

Conditional colouring

Highlight cells that meet a condition. Open Conditional colouring from the options menu, and set a colour, a column, a condition, and a number or another column to compare against. Rules run top to bottom and the first match wins; drag to reorder.

Four rules are set up for you:

  • Red if Revenue (time based) is greater than Revenue
  • Yellow if Allocated time ($) is greater than Revenue (time based)
  • Green if Profit (%) is above 40%
  • Red if Profit (%) is below 15%

Tabs

Save up to 10 views in one report. Select + to add a tab; it starts as a copy of the current one. Each tab keeps its own date range, grouping, columns, trends, colouring and settings, and the report reopens on your last tab.

Open Report settings from the options menu.

Export

Select Export in the report header and choose Excel or CSV. The export uses your current view.

📝 Note: Exporting a Team grouping shows a warning, because people in several teams are counted under each team.

Search, filter and refresh

  • Search: use the search field in the header to find rows.
  • Filter: select Filter to filter by project type and more. Confirmed and tentative projects are both shown by default. Filters don't reset your Track Trends settings.
  • Refresh: data refreshes about every 10 minutes. The header shows the last sync; select the refresh icon to update now.
