Connect your Teamwork.com and HubSpot accounts so that you and your team can link HubSpot items (ex. deals) to Teamwork.com items (ex. tasks) or create workflows to automate business processes between the two platforms.

  • Teamwork.com site admins and standard users can connect a Teamwork.com site to HubSpot as long as they are a super admin in the HubSpot account. 
    • In Teamwork.com, they can link HubSpot deals, tickets, contacts, and companies to Teamwork.com tasks and projects.
    • In HubSpot, they can:
      • Create new projects, tasks, or time logs from HubSpot deals, tickets, contacts, and companies.
      • Link existing projects and tasks to HubSpot deals, tickets, contacts, and companies.

  • You need cross-platform visibility over active HubSpot items and Teamwork.com items.
  • You want to create trackable work in Teamwork.com as key deal activity happens in HubSpot.

Before you start

  • The authenticated HubSpot account is accessible to all Teamwork.com users with access to the integration.
  • You must be a member of a Teamwork.com project and have the add tasks project permissions in order to create tasks in that project via HubSpot.
  • You must have the relevant Teamwork.com profile permissions in order to create projects from templates in HubSpot.
  • Private Teamwork.com task lists cannot be selected in HubSpot's workflow builder.

Install the Teamwork.com app in HubSpot

Connect your Teamwork.com and HubSpot accounts to create and link items across the two platforms.

  1. Log in to HubSpot.
  2. Click the marketplace icon in the site's main navigation menu.
  3. Select App Marketplace.
  4. Enter Teamwork in the search field and press Enter / Return on your keyboard.
  5. Select Teamwork.com from the results.
  6. Click Install app.
  7. Enter your Teamwork.com login credentials to authenticate.

The integration is set up for your HubSpot site and paid users in Teamwork.com can use the integration.

💡 The integration can also be enabled via Teamwork.com's My apps settings. The person enabling the integration as well as site admins can disable the integration from Teamwork.com's My apps settings.


Create Teamwork.com cards in HubSpot

Create cards on HubSpot contacts, companies, deals, or tickets to display Teamwork.com project, task, or time log details.

  1. Log in to HubSpot.
  2. Select CRM from the main navigation menu.
  3. Choose an item type: Contacts, Companies, Deals, or Tickets. In this example, we're using Deals.
  4. Go to the CRM cards panel on the deal (or other item) view's right.
  5. Scroll to the Teamwork.com card.
  6. Click Actions.
  7. Choose an option: 
    1. Create project:
      1. Create a new project from scratch or from a template.
      2. Link an existing project.
    2. Create task:
      1. Create a new task in a specific project.
      2. Link an existing task.
    3. Create timelog.
  8. Fill out the Teamwork.com item's details. In this example, we're creating a new task.
     
     
  9. Click Create task.

Once an item is created, it is displayed as an entry in the Teamwork.com card in the deal (or other HubSpot item) view.




Link HubSpot items in Teamwork.com

Link HubSpot items to projects or tasks in Teamwork.com

Projects

  1. Click Jump to in the main navigation menu, then search for and select a project.
  2. Click the three dots (vertical ellipsis) on the project name's right.
  3. Switch to the Quick add tab.
  4. Select Add HubSpot link.

  5. Choose the HubSpot item type you want to link to (ex. deal, company, contact, ticket).
  6. Select the individual item to link (ex. the particular deal you want to link).

  7. Click Create Link.

A HubSpot icon is displayed beside the project name. Hover the HubSpot icon to view (and access) the linked item.
 

Tasks

  1. Switch to the project's List view.
  2. Click the HubSpot icon on a task name's right.
  3. Choose an item type: contact, company, deal, or ticket. In this example, we're using Deal.

     
     
  4. Fill out the item's details.
  5. Click Create Link.

The Teamwork.com task has an easily accessible link to the HubSpot item. Hover the HubSpot icon on the project name's right to view (and access) the linked item.

Create Teamwork.com items with HubSpot workflows

Once Teamwork.com has been authenticated for HubSpot workflows, supported Teamwork.com actions are visible in HubSpot's workflow builder.

  1. Log in to HubSpot.
  2. Click Automation in the main navigation menu.
  3. Select Workflows.
  4. Choose a workflow:
    1. Select an existing workflow from the workflows list.
    2. Create a new workflow.
  5. Click a plus icon (Image Placeholder) in the workflow. If an existing workflow has multiple steps, click the plus at the point you want the action to occur.
  6. Search for "Teamwork" in the actions slide-out panel.
  7. Choose the Teamwork.com item you want to create:
    1. Create Task
    2. Create Project From Template
    3. Create Client

  8. Fill out the item's details.
    1. Task: Project, task list, task name are required.


       
    2. Project: Select a custom template to apply to the new project.
      📝 New projects created via HubSpot workflows must use an existing Teamwork.com project template
    3. Client: Name (required), website, email, phone.
  9. Click Save.
  10. Build out the rest of your workflow.
  11. Click Review and publish to turn the workflow on.

Each time the saved action is triggered, a new task (or project) is created in Teamwork.com.


Disconnect Teamwork.com from HubSpot

The Teamwork.com user that installed the integration, as well as site admins in the owner company, can disable the integration for all users.

  1. Click your profile icon in your Teamwork.com site's main navigation menu.
  2. Select My apps
    1. Site admins in the owner company can also select Apps and integrations to disconnect via site settings.
  3. Scroll to HubSpot.
  4. Click Disconnect on the HubSpot card.

HubSpot is turned off for all users associated with your Teamwork.com site.

Best practices

  • Create context: Link to HubSpot deals from Teamwork.com projects so your team can easily understand the full picture of what they're working on (and check progress for any relevant work).
  • Take quick action: Create key Teamwork.com project items as you manage deals in HubSpot, ensuring that team members can immediately start working on necessary projects.
  • Automate:
    • Create Teamwork.com automations to take action in Teamwork.com when deal stages change in HubSpot.
    • Set up HubSpot workflows to create tasks and projects in Teamwork.com when certain HubSpot events occur.
