Who
Teamwork.com users with access to Ask AI. The information and actions available to each user depend on their existing permissions.
When
Use Ask AI when you want to find information, get an answer, or complete supported work without first navigating to the relevant project, view, report, or setting.
Ask AI is available throughout Teamwork.com. It opens in a side panel, allowing you to find information, ask questions, and request supported actions without leaving the area where you are working.

Describe what you need in your own words. Ask AI can use the information available to you in Teamwork.com to return an answer, link you to relevant work, or prepare an action for your review.


Before you start

  • Ask AI follows your existing Teamwork.com permissions. It cannot show information or complete an action that you could not otherwise access or complete.
  • Ask AI asks you to review and confirm supported actions before making changes in Teamwork.com.
  • Ask AI can make mistakes. Check important details and review every proposed action before confirming it.
  • Site owners and company admins can manage Ask AI and other AI features from the AI area in the site settings.

Ask AI uses Teamwork.com's Model Context Protocol (MCP) capabilities to retrieve information and perform supported actions using the access available to you.

Open Ask AI

Ask AI is available globally from the main Teamwork.com header. The suggested questions on selected pages can change based on the area you are viewing. For example, your personal timesheet can surface time-related suggestions, while a project can surface questions about its time, risk, and remaining work.

  1. Select Ask AI in the main Teamwork.com header.

  2. Choose how you want to interact with the AI assistant:
    1. Enter what you want to find, understand, create, or update in the Tell AI what to do next field. You can also select a suggested question.
      Alternatively, use the microphone to dictate your request using voice input.
    2. Select one of the automatically suggested prompts. 
  3. Optionally, select the paperclip icon to attach an image from your device.
  4. Send your request.
  5. Review the answer or proposed action. Open any linked Teamwork items to see more detail.
  6. Ask a follow-up question or, for a supported action, review the details and confirm when you are ready.

Find work

Ask AI can locate projects and tasks using the details you provide. Results can include links to the relevant Teamwork.com items so you can open them directly.

Example requests include:
  • Find the task for updating the pricing page.
  • Which of my tasks are due today?
  • Which of my tasks are overdue?
  • What's blocking my work?

Add useful details such as the project name, task name, assignee, or date range when your request could match several items.

Get answers about your work

Ask AI can answer supported questions using current Teamwork.com data available to you. Use it to summarize information or explore questions about:
  • Project health, overdue work, upcoming deadlines, and delivery risk.
  • Where time is being spent.
  • Team capacity and utilization.
  • Project budget usage and remaining budget.

Example requests include:
  • Catch me up.
  • What's changed since yesterday?
  • Which projects have deadlines this month?
  • Where did the team spend the most time last week?
  • Which people are over capacity?
  • How much budget remains on the website redesign project?

Check the project, people, date range, time, capacity, and budget details before sharing or acting on an answer. Use links in the response to review the underlying Teamwork.com records.

Get work done

Ask AI can prepare supported changes based on your request. It checks your permissions and asks you to confirm the details before making a change.

You can ask Ask AI to:
  • Create a project.
  • Create a task.
  • Update a task's name, description, dates, priority, progress, assignees, or tags.
  • Add task dependencies or subtasks.
  • Log time against a project or task.

State the change you want and include the project or task when relevant. If Ask AI needs more information, respond to its follow-up question. Review the proposed change, then confirm it when the details are correct.

Log time with Ask AI

Describe the work, duration, and relevant project or task. Ask AI can prepare one or more time entries for you to review before saving. It asks you to confirm the proposed entry before logging the time.

For example, you can ask Log 20 minutes on my most recently edited assigned task. Ask AI identifies the task and proposed time entry, then logs it after you confirm.

Learn how Teamwork.com works

Ask AI can answer supported product questions using Teamwork.com Help Center content. Ask where to find a feature, how a setting works, or how to complete a workflow.

Example requests include:
  • What are role rates?
  • How do I create a task dependency?
  • Where can I update a project's budget?
  • How do I invite someone to a project?

Continue conversations

Ask follow-up questions in the same conversation to refine an answer, add context, or request a related action. Ask AI uses the existing conversation to interpret your next request. The current conversation remains open when you move to another area of Teamwork.com.

Resume a recent chat

The Recent chats view lists previous conversations by title and date so you can return to earlier work.

  1. Open Ask AI.
  2. Select Recent chats in the panel header.
  3. Select a conversation to restore its chat history.

Start a new chat

Select Start new chat in the panel header to begin a fresh conversation. Previous conversations remain available through recent chats. Starting a new chat also displays the suggested questions for the area you are currently viewing.

Close Ask AI

Select the close icon in the panel header to return to your work. You can resume the conversation later from recent chats.

Best practices

  • Describe the outcome: State what you want to find, understand, create, or change.
  • Add identifying details: Include project names, task names, people, or date ranges when they help narrow the request.
  • Use follow-up questions: Refine the result or add missing context without starting over.
  • Review source records: Open linked Teamwork.com items to verify important information.
  • Check proposed actions: Confirm the correct item, people, dates, and other details before approving a change.

Can Ask AI access everything in Teamwork.com?

No. Ask AI follows your existing Teamwork.com permissions and can only return information you are already allowed to access.

Does Ask AI make changes automatically?

No. Ask AI prepares supported actions for your review and asks you to confirm the details before making a change.

Why could Ask AI not complete my request?

The requested action may not be supported, or your Teamwork.com permissions may not allow you to complete it. Try asking for the information another way or complete the action manually if it is available to you.

What should I do if an Ask AI answer is incorrect or incomplete?

Ask a follow-up question with more specific context or start a new chat. Review linked Teamwork.com items before relying on important information, and check any proposed action before confirming it.

Can I resume a previous conversation?

Yes. Open Recent chats from the Ask Teamwork panel and select a conversation to restore its history.
