View and manage tasks from a project's List view.
Why
  • Track all work to get a clear picture of what you (or your team) need to get done.
  • Update key work data as projects progress to increase visibility and provide context.

  • Site admins (in external companies) can view, create, and manage all tasks on projects they're a member of.

    • View tasks (grants users view-only access to the project's task-based views: List, Table, Board, Gantt)
  • Standard users and client users with the project permission:
    • Add tasks (allows users to create new tasks, edit tasks they create or are assigned to, and edit unassigned tasks)
    • Edit all tasks (allows users to edit tasks assigned to other users)

Before you start

To use the List view, the List feature must be turned on in a project's settings.

We're currently rolling out a List view redesign. You might see a New List View toggle option in List view's top right to switch between versions. Toggle aside, know which version you're using by checking the task properties:

  • Legacy List view: When you hover over a task, individual task property icons appear directly on the task's right. If this is what you see, switch to our legacy List view page.

 
  • New List view: When you hover over a task, a floating action toolbar appears on the task row's far right. If this is what you see, keep reading this page.



View tasks in List view

  1. Click Jump to in Teamwork.com's main navigation menu.
  2. Search for and select a project.
  3. Select List from the project's navigation menu. The List tab might be under the More... option.

Edit and update task

  1. Click Jump to in Teamwork.com's main navigation menu.
  2. Search for and select a project.
  3. Select List from the project's navigation menu. The List tab might be under the More... option.
  4. Select a task list from the left navigation menu. If you're using the All Lists view, scroll to the relevant list.
  5. Hover over the task you want to update.

  6. Choose which task detail you want to update (options listed below).
Task property

Assign task
Select the user icon (Image Placeholder) or existing assignee (Image Placeholder)
on the task name's left. You can:
  • Assign: Click the on a person's right to assign them to the task. Use the search field to locate and assign specific people or teams.
  • Unassign: Click the checkmark on an existing assignee's right to remove them from the task's assignees. Alternatively, click Clear at the bottom of the dropdown to remove all existing assignees.

Click the pencil icon on the task name's right, then update the name text.

Edit existing task properties
Some properties, if already set, display their current value beside the task name. Ex. dates, progress, logged time. Hover over one of these values to update it.

Set additional task properties
A floating action bar displays on the task's right when you hover over the task.
  • You can set dates, set estimated time, log time, add tags, add comments, attach files, or choose a board column.

    📝 On smaller screens, all options in the floating action bar are nested within the ellipsis ().
Open the task details panel
Click the task's name to open the task details panel where you can view and manage the task's full range of properties and associated items.
Complete task
Click the checkmark (Image Placeholder) on the task's left to complete the task.

Assign task
Select the user icon (Image Placeholder) or existing assignee (Image Placeholder)
on the task name's left. You can:
  • Assign: Click the on a person's right to assign them to the task. Use the search field to locate and assign specific people or teams.
  • Unassign: Click the checkmark on an existing assignee's right to remove them from the task's assignees. Alternatively, click Clear at the bottom of the dropdown to remove all existing assignees.

Manage a task

Manage tasks from the task options menu.

  1. Click Jump to in Teamwork's main navigation menu.
  2. Search for and select a project.
  3. Select List from the project's navigation menu. The List tab might be under the More... option.
  4. Hover over the relevant task to reveal the floating actions bar on the task's far right.
  5. Click the  in the floating actions bar.



  6. Select one of the menu options (outlined below).

Open the task details panel where you can view and manage everything associated with the task.

Copy task link
Copy the task's direct URL.
Open in new tab
Open the individual task view in a new browser tab.
Move
Choose to move or copy the task.
  • Move the task to another list in the same project or to a list in another project.
  • Copy the task to any list in the same project or to a list in another project.
Duplicate
Duplicate the task — the new task is created instantly.
View activity
View the task's activity history — a log of changes made to the task, when the changes occurred, and who made the changes.

Delete
Delete the task.
⚠️ Deletion occurs immediately. View (and restore) deleted items in the project's trash can for up to 30 days from its deletion date.

Work with subtasks

  1. Click Jump to in Teamwork.com's main navigation menu.
  2. Search for and select a project.
  3. Select List from the project's navigation menu. The List tab might be under the More... option.
  4. Scroll to a task with existing subtasks. Tip: Tasks with subtasks have a count visible on the task's left. 
  5. Click the chevron (Image Placeholder) on the task's left to view its subtasks.

 
💡 Use keyboard shortcuts to manage subtasks — hover over a task name, then press:
  • TABMakes the task a subtask of the task (or subtask) directly above it. Ex. A task becomes a subtask or a subtask becomes a sub-subtask.
  • TAB + SHIFTPromotes the task up one level in the hierarchy. Ex. A sub-subtask becomes a subtask or a subtasks becomes a main top-level task.


Manually reorder tasks

Use drag and drop functionality to quickly reorder a project's tasks into an order that's most helpful for your team.
 📝 Tasks and subtasks cannot be manually reordered when List view has active filters applied.

  1. Click Jump to in Teamwork.com's main navigation menu.
  2. Search for and select a project.
  3. Select List from the project's navigation menu. The List tab might be under the More... option.
  4. Select All Lists from the left navigation menu.
  5. Scroll to the relevant task list.
  6. Hover over the task you want to move.
  7. Click and hold the set of dots (Image Placeholder) on the task's left, then drag and drop the task to a different position in the same task list or to another task list.



The task order you choose is reflected in the project's List and Table views.

💡 You can also move a task to a different task list by dragging and dropping the task directly onto task list names listed in the List view's left navigation panel.

  • A project's Table and Board views. Views change how you see (and interact) with tasks. Switch between views depending on what you need.

Best practices

  • Guarantee visibility: Delegate tasks to the right people, creating a clear picture of responsibilities. When requirements change, reassign work accordingly.
  • Keep things up-to-date: Review active tasks regularly and encourage your team to update task properties as work progresses.

  • Default properties: Set task defaults in a task list's settings so that new tasks added to the list are automatically populated with key details.
