What
Use Board view triggers to automatically notify task assignees when a task (card) is moved to a particular column.
Why
  • Create visibility by letting your team members know when you move their tasks to a new column, requiring their input.
  • Save time — Teamwork will do the communicating for you, so you don't have to.
Who
  • Site admins and project admins
When
You use Board view to plan your content calendar and each card (task) represents a piece of content. When each blog post draft is written, a review is required.
  • Example: Create a trigger on your "Content Review" column to send a custom notification to specific project members each time a task card is moved to the column.

When
You use Board view to manage your content calendar and each card (task) represents a piece of content. When each blog post draft is written, a review cycle is required.
  • Example: Create a trigger on your "Needs Changes" column to notify task assignees each time a task card is moved to the column.

Before you start

Board view must be turned on for the project. Don't see it? Check your project's feature settings.

Triggers are specific to individual columns in the board, so you'll need to create some columns first.

Create a custom notification trigger

  1. Click Jump to in Teamwork's left navigation menu.
  2. Search for and select a project.

  3. Switch to the Board view. The Board tab might be hidden under the More... section.
  4. Go to the column you want to add the trigger to.
  5. Click the ... (ellipsis) to the right of the column name. This is the column you're adding the trigger to, so when a task is moved here, a custom notification will be sent.
  6. Select Column Settings from the dropdown.

  7. Click + Add Trigger at the top of the column settings panel.

  8. Click the Choose trigger type field, then select Modify Properties in the dropdown.
  9. Click the What information should this trigger change? field, then select Notify assignees in the dropdown.

  10. Click Add Trigger to save the trigger to the column.
  11. Click Update in the column settings panel to return to the Board view.

The trigger is applied to the Board column. Each time a project member moves a task card to the column, an email is sent to the task assignees notifying them that the task has been edited. The notification includes:
  • The associated task list and project
  • The custom message (if set)
  • An option to view the task in Teamwork

💡 Want to see which triggers are already set up for a column? You'll see a trigger icon at the bottom of a column that has active triggers. Hover over it to see which ones are set up!

Best practices

  • Automate communication: Use the notify assignees trigger to keep your team in the loop as you manage tasks through the phases of your workflow.
  • Tell your team: Once you've set up an assignee trigger, let them know that they don't need to keep checking back on the task to see if it's ready for them...they'll just get notified.
