Within Teamwork, you can create automations based on estimated and logged time to help you to prioritize and sequence tasks efficiently .

Note: Automations can only be viewed, created, and managed by administrators and standard users in the owner company. The ability for an automation to successfully run will also depend on the creator's project permissions.

For time based automations to successfully run, the creator must must have the view estimated time and view time log permissions enabled on the selected project(s).

While viewing the List area of a project, click the Automate button in the top right.



The Automations modal will allow you to choose from a gallery of pre-defined automation templates or create custom automations.

Time-based automation templates can be found in the Time category of the Browse Templates tab.

You can also create custom time-based automations using the custom automations option. 

Time-based triggers can be created based on: 

  • When a task's estimated time goes over 
  • When a task's logged time exceeds estimated time

Using the custom automations creation option, you can select which of the time based triggers you would like to base your automation on via the When section. 



Estimated time

Selecting task's estimated exceeds as the trigger will allow you to set a threshold for estimated time.

The corresponding action(s) you choose will be initiated when that threshold is exceeded.

Note: Any actions relating to notifying users or adding/changing assignees require the selected user(s) to be a member of the project.

In the top right of the Create Automations tab, you can toggle the automation to be active or inactive.

At the bottom of the tab, you will see an automation description out lining both the trigger and conditions along with the action(s) of the automation. 

Click Create to complete the automation setup.

Time logged vs. estimated time

You can also set triggers based on a comparison between logged time and existing estimated time on tasks.

Selecting logged time/estimated time as the trigger will allow you to set either:

  • Exceeds - logged time exceeds estimated time by a specific amount.
  • Reaches a percent of - logged time reaches a specific percentage of estimated time.
When time logged on a task in the associated project(s) matches the criteria (amount exceeded or percentage reached) set for the trigger, the corresponding action(s) you choose will be initiated.

At the bottom of the tab, you will see an automation description out lining both the trigger and conditions along with the action(s) of the automation. 

Click Create to complete the automation setup.

Once a custom automation is created, it will be listed in the Manage Automations tab of the Automations modal where you can edit, delete, or toggle activation.
