Workload allows you to compare the totals of estimated time against logged time on all tasks assigned to a person on projects.

To find it, go to the 'Everything' tab at the top of the screen and you'll see a section for it underneath:



From here you can view, either per person or per project, a total of how many hours are allocated to a user over a period of time. 




In the example above, workload is being reviewed by user, across all projects. The results can be grouped by User, Company or Project from the buttons to the lower right of the filter options.

The Projects Column


  • The number of projects the user's estimated and logged time is spread over. The user may be assigned to more projects within this timeframe but they will only be included if they have tasks in those projects with estimated time on them.

The Tasks column

  • Tells the number of tasks the user's estimated and logged time is spread over. The user may be assigned to more tasks within this timeframe but they will only be included if they have estimated time on them. 
  • Grey is the total number of tasks, orange are still active tasks and green are completed.

Total Estimated Time


  • Refers to the total cumulative estimated hours on tasks the user is assigned to within the selected date range.
Marked Complete


  • Refers to the total hours logged by the user on tasks which are now marked complete
Still Active


  • Refers to the number of hours on tasks which are still active
Note: The % figures in each column are all expressed as a portion of the total estimated time.


Which tasks are included?

Any tasks which have either their start or end date within the selected time frame are included.

Tasks which have their start date before the selected time frame and an end date during or beyond the selected time frame are included.

Tasks which have their start date during the selected time frame and an end date during or beyond the selected time frame are included.


Which tasks are excluded?

Overdue tasks with a due date before the beginning of the selected time frame are excluded.

Tasks with a start date after the selected time frame.

Tasks with a start date before the selected time frame and no due date are not included, even if they are still active or are marked complete within the selected time frame.

Active tasks with no start or due date can be included by selecting the Include tasks due anytime checkbox beside the date range picker on the Workload page.


Tasks assigned to multiple people

There is a "Distribute estimated time" checkbox which will decide how the time is distributed.

If the box is checked, and a task is assigned to a number of people we divide the time by the number of people that the task is assigned to and add that to their individual workload figure


  • For example: If a task is assigned to 3 people and 1 hour was estimated then the Workload will now calculate this as 20 mins for each person.

If however the box is unchecked then the full time estimate amount will be added to each user's workload figure.


  • For example: If a task is assigned to 3 people and 1 hour was estimated then the Workload will now calculate this as 1 hour for each person.

Pro-rata estimated time

The Pro-rata checkbox decides if the total estimated time on a task is included or the partial pro rata figure. 

If the box is unchecked and a task falls only partially within the selected date range, the whole time estimate will be included.


  • For example task A is estimated at 80 hours from the 1st to the 14th of the month. In my filter I select the date range 1st to the 7th and the full 80 hours will be included.

If the box is checked and a task falls only partially within the selected date range, the system will distribute the hours equally over each day between the task's start and due date. It will then calculate the number of days when the task is active within the selected time frame. It will then multiply the number of days by the hours per day and this figure will be included in the calculation. 
  • For example task A is estimated at 80 hours from the 1st to the 14th of the month. In my filter I select the date range 1st to the 7th and the Pro Rata check box is selected. In this example the task is active for 7 of the 14 days= 1/2 X 80 hours = 40 hours
