What
Manage a project’s tasks through a column-based visualization of your team’s workflow.

A project’s Board view uses columns to represent points of progress — you move task cards through the columns as you work towards project completion.

  • Standard users, client users, and collaborators can access Board view on projects they have permission to view tasks on. They will only see tasks (cards) they have permission to view.

Before you start

  • Free Forever subscriptions are limited to 3 Board view columns with 10 cards populated in each column on each project.

Cards vs tasks 

  • Tasks are the actual work item you create to manage work in Teamwork.com. Tasks can be viewed in List, Table, Gantt, and Board views.
  • Cards are a visual representation of those tasks in Board view.

Board view is designed to make it easier to move tasks (cards) through different stages of a workflow.
  • Updates made to cards in Board view are reflected in each task view and vice versa. Archiving completed cards in Board view is an exception — this does not archive tasks in any other view.

Tasks and subtasks

Tasks and subtasks are treated independently of one another in Board view.
  • Backlog: Parent tasks and subtasks are listed separately in the backlog.
    • Use search to locate subtasks by name or click the subtask count link on a parent task to reveal its subtasks.
  • Columns: 
    • Parent tasks and subtasks need to be added to columns individually. A subtask can be added to a different column to the one its parent task is associated with.
    • A blue circle on a parent task card’s left denotes how many subtasks the task has.
      • Click the card to open a task details quick view which shows the task and its associated subtasks.

  1. Click Jump to in Teamwork.com's main navigation menu.
  2. Search for and select a project.

  3. Select the Board tab in the project's navigation menu. The Board tab might be hidden under the More... section.
  4. Hover over the relevant card.
  5. Click the pencil icon.

  6. Select the ... (ellipsis) in the card's bottom left to expand it.

  7. Click a property icon to update it. You can update the task's task list, assignees, dates, priority, progress, tags, and estimated time directly on the card.

The card is updated and the changes are reflected on the task across all task views.
 

Another option...

While you can edit most key task details directly on a card, you can access the full task details view to update other properties. Click a card to open the task details panel where you can:
  • Update the task's full range of properties.
  • View and manage (depending on your project permissions) the task's:
    • File attachments
    • Linked proofs
    • Logged time
    • Comments

Filter tasks in Board view

  1. Click Jump to in Teamwork.com's main navigation menu.
  2. Search for and select a project.
  3. Select the Board tab in the project navigation menu. The Board tab might be hidden under the More... section.
  4. Click the filter button (Image Placeholder) in the view's top right.
  5. Select a filter (ex. assignee, custom fields, etc. — all options outlined in the table below) and apply the task criteria you need to refine by.

Board view updates instantly as you choose filter criteria.

📝 Click Clear Filter at the top of the view to clear the current criteria. Click Save Filter to create a saved filter with the current criteria for easy future access.

Archive completed cards 

Archiving completed cards helps keep your Board view focused on active work.

Mark cards as complete by ticking the checkmark on the task card's left, then use the archive function to hide them from view.

Archive completed cards

  1. Click Jump to in Teamwork.com's main navigation menu.
  2. Search for and select a project.
  3. Select the Board tab in the project navigation menu. The Board tab might be hidden under the More... section.
  4. Scroll to the relevant column.
  5. Click the ... (ellipsis) in the column's top right.
  6. Select Archive Completed Cards.

Any completed cards on the column are immediately hidden from view. 

View archived cards

  1. Click Jump to in Teamwork.com's left navigation menu.
  2. Search for and select a project.
  3. Select the Board tab in the project navigation menu. The Board tab might be hidden under the More... section.
  4. Click the ... (ellipsis) in Board view's top right. 
  5. Select View Archived Cards

All completed archived cards are displayed in an Archived Cards slide out panel.

💡 Select one or multiple archived cards and click Unarchive Card(s) to return the completed card(s) to their respective columns in Board view.

Best practices

  • Review regularly: Use Board view during project meetings to assess how work is progressing through the project's key stages and identify any bottlenecks.
  • Update as you go: Once all required work is carried out for a task's current stage, move the task along to the next column in the Board.
