Within Teamwork Desk, adjustments to your subscription are billed on a pro-rata basis.

You can make changes to your subscription at any time. Your site will update immediately to reflect the changes.

Payment adjustments reflecting changes to your subscription will be invoiced immediately.

  • If you add more users to your subscription, you will be billed for those users immediately, and your subscription renewal date will remain unchanged.
  • If you remove users from your subscription, you will be credited immediately for those users' remaining unused time in the current billing cycle, and your subscription renewal date will remain unchanged.
  • If you change from monthly to annual billing, you will be billed immediately, and a new subscription cycle will start from that date.
  • If you change plan, e.g. from Pro to Premium, you will be billed immediately for the upgrade cost, and your subscription renewal date will remain unchanged.
Note: When applying a change to your subscription, you will only be charged for the increase amount, not the full subscription total. The balance corresponding to the change will be displayed as a Due now total in the order confirmation page.

Adding agents to a monthly subscription


When you add agents to your monthly subscription during your billing cycle, those new agents are added to your subscription for the remainder of the billing period, and you will be invoiced for the additional users immediately.

If you were to add 5 new agents midway through your monthly cycle, those 5 agents are being purchased for the remaining half of that month.

Example: John is currently on a monthly Starter plan, with 5 agents, renewing on the 1st of each month.

  • Subscription: $10.50 x 5 = $52.50 ex VAT monthly
  • On 15th of June, John adds 3 agents ($31.50 extra per month to the original subscription)
  • This change is charged pro rata i.e. the time remaining from when the change was made until their next renewal date. In this case its 15 days (15th Jun to 30th Jun)
    • $31.50 / 30 (# days in the full billing cycle) = $1.05 x 15 days (used time) = $15.75 used time to be charged immediately.
  • Next invoice on 1st July: $84 (new 8 agent total x $10.50)

Adding agents to an annual subscription


When you add agents to your annual subscription during your billing cycle, those new agents are added to your subscription for the remainder of the billing period, and you will be invoiced for the additional users immediately.

If you were to add 4 new agents during your annual cycle, those 4 agents are being purchased for the remainder of that year.

Example: Sarah is currently on an annual Pro plan with 14 agents, renewing on the 1st of each year.

  • Subscription: $15 x 14 = $2520 ex VAT annually
  • On 15th of May, Sarah adds 4 agents ($720 extra per year to the original subscription)
  • This change is charged pro rata i.e. the time remaining from when the change was made until their next renewal date. In this case its 231 days (15th May 2021 to 1st Jan 2022)
    • $720 / 365 (# days in the full billing cycle) = $1.97 x 231 days (used time) = $455.67 used time to be charged immediately.
  • Next invoice on 1st Jan 2022: $3240 (new 18 agent total)

Removing agents from an existing subscription


When you remove agents from your subscription during your billing cycle, those new agents are removed from your subscription immediately.

The unused time for those agents in that period will be credited immediately.

If you were to remove 5 agents midway through your billing cycle, those 5 agents are unused for the remaining half of that period.

Example: Matt is currently on a monthly Pro plan with 10 agents, renewing on the 1st of each month.

  • Subscription: $18.75 x 10 = $187.50 ex VAT monthly
  • On 15th of June, Matt removes 5 agents ($93.75 less per month to the original subscription)
  • This change is credited pro rata i.e. the time remaining from when the change was made until their next renewal date. In this case its 15 days (15th June to 30th June)
    • $93.75 / 30 (# days in the full billing cycle) = $3.125 x 15 days (unused time) = $46.87 unused time to be credited immediately.
  • Next invoice on 1st July: $93.75 (new 5 agent total)

Switching from monthly to annual billing


When you change the billing cycle for your subscription from monthly to annual, the date of the modification becomes the new annual subscription date - renewals going forward will follow this date.

Note: You will be invoiced at the time of the switch, and payment for the new annual subscription will be taken, with the annual billing cycle beginning that day.

The time remaining on the monthly subscription is credited towards the annual subscription. If your monthly renewal date was June 20th, and you switch to annual on June 8th, you will be credited the unused monthly time from June 8th - 20th.

Example: Margaret is currently on a monthly Premium plan with 10 agents, renewing on the 1st of each month.

  • Subscription: $36.75 x 10 agents = $367.50 ex VAT monthly
  • On 15th of June, Margaret switches from monthly to annual billing
  • There are still 15 days remaining on the monthly subscription
    • ($367.50 / 30 days) * 15 days remaining = $183.75 credit
  • Annual subscription: $29.50 x 10 agents x 12 months = $3540
    • Margaret is charged $3356.25 ($3540 - $183.75 credit) on 15th June 2021 (date of change = new renewal date)
